Booking Policies & Procedures
Step 1: Determine your event type
Internal / University Sponsored Event:
This event type may be requested 45 days prior to desired date for Thursday - Saturday events / 90 days prior to desired date for Sunday-Wednesday events
- Events planned and run exclusively by a university department for the primary benefit of the university community
- External guests may be in attendance, but there are no outside groups involved with the event planning
University Co-Sponsored Event:
This event type may be requested at any time
- Events where a university department is working with an external group to run an event
- The event consists of internal and external audiences and may benefit the university or an external audience
- Co-Sponsored events must also meet the following criteria:
- The event benefits and supports the Mission of Duquesne University and has a direct affiliation to a department or school within the University;
- The University department sponsoring the event is actively involved with its planning and has a personal representative present for the entirety of the event;
- Duquesne University is prominently displayed on all event literature;
- Duquesne University students receive free admission (if admission is charged);
- The co-sponsoring department has an opportunity to promote its programs through speaking or display of printed materials.
External / Non-University Event:
This event type may be requested at any time
- Events run exclusively by an external group
- The external group has an affiliation to the university (examples include alumni or organizations that have an established relationship with the university)
Non-Approved Events:
- University Sponsored events requested outside of permitted booking time frame (45 days prior to desired date for Thursday - Saturday events / 90 days prior to desired date for Sunday-Wednesday events)
- Events planned by university students benefiting university students; all student events should be coordinated through the office of Student Life (exceptions include co-sponsored events and external events)
- Events where the audience consists entirely of university students; all student events should be coordinated through the office of Student Life
- Classes of any type
- External / Non-University Events that do not meet the affiliation requirements
- Wedding receptions where the bride, groom or a parent of either is not an alumni, current student or employee of the university
Step 2: Find out if your date is available

Step 3: Complete the form that fits your event type (see step 1)

Step 4: Wait for Confirmation
All events are submitted for university approval and email notification of approval status is sent within 2 weeks of a submitted request
